Does the unit work with my machines?
Yes. The Toolsquare unit works with every brand and type of machine we've encountered: computer-controlled, single-phase, three-phase, old, new. We run a short compatibility check during onboarding.
How long does installation take?
Typically it takes an hour to connect a Toolsquare unit to a machine. The units are installed and configured on-site, the software is cloud-native so there's nothing to deploy. Larger multi-site rollouts happen in waves, at the pace that fits your organisation.
Do we need to replace our existing systems?
No. Toolsquare connects via API to LIMS, ELN, ERP and your BI tools. Every environment keeps its own way of working. We add a data layer on top that reports back in a uniform way.
Is the audit trail GxP / 21 CFR Part 11 / ISO-compliant?
Every session from a machine with a Toolsquare unit is logged at the hardware level, timestamped, attributed to a user, and immutable. The audit log is exportable in every format your compliance team needs.
Can we start small and scale up?
Absolutely. Most customers start with a single lab or site (often 20 to 50 machines) and expand from there. The pricing is volume-based, so your per-machine cost drops as you scale.
What about data security and GDPR?
Cloud-native, hosted in the EU, GDPR-compliant by design. SSO, role-based access, encrypted data at rest and in transit. Details available on request.
Do you offer academic pricing?
Yes. Academic institutions qualify for discounts of up to 20% on the recurring licence, the hardware and installation. Talk to our sales team to set this up.
Do I have access to my data?
Yes. You can connect with the API or export any relevant data for your audit reporting, cost allocation and BI tooling.
What's the payback period?
For most teams, the payback is measured in weeks, not years. Once the real cost of downtime, repair and avoided CAPEX becomes visible, the investment case is simple.
